Collect client ID without it sitting in your inbox
Identity checks mean asking clients for passports, driving licences and proof of address — and most of it arrives by email, where it stays for years. Send a branded request link instead: the client uploads the documents, you open them once, and the record shows when.
How it works
Three steps, and nothing to install for your client.
-
Send a request
Describe what you need — say, photo ID and a recent proof of address — and send your client a link carrying your practice's brand.
-
Your client uploads
They attach the documents from a computer or straight from their phone camera, and add any details you asked for. No account needed.
-
You open it once
You're emailed when it arrives. Save what you must keep into your own records; the files are then deleted from SecretWolf, and the handover stays on the audit trail.
Built for identity checks
What happens to a client's documents, from upload to deletion.
Upload from any device
BusinessClients attach up to five files from a computer or a phone — PDF, JPG, PNG, and the HEIC and WEBP photos phones take by default — up to 10 MB each.
Checked and encrypted on arrival
Every file is scanned for malware and encrypted before it is stored. A file that fails never reaches you, and nothing else in that submission is kept.
Opened once, then deleted
You're emailed when it arrives. Opening it deletes the files along with the submission, so nothing lingers in a mailbox or a shared drive by accident.
A record of the handover
TeamThe audit log records the request, each file by name, and when it was opened — never the contents.
Under your practice's brand
TeamThe request page and the emails your client receives carry your logo, colours and name, so it looks like it came from you — because it did.
Details alongside the documents
Ask for a reference, a date of birth or anything else in the same request, so the documents and the details arrive together.
Questions we hear
Does SecretWolf keep the documents for our AML records?
No, deliberately. The files are deleted once opened, or after seven days if they never are. Save what you're required to retain for client due diligence into your practice's own records when you open it; SecretWolf keeps only the record that the request was made, fulfilled and opened.
Can clients send a photo from their phone?
Yes. JPG, PNG, HEIC (the iPhone default) and WEBP are accepted, along with PDF and Office documents — up to five files and 10 MB each.
Which plan do we need?
Clients can attach files on the Business plan, at £29/month. Requests on Team carry typed details only.
Do clients need an account?
No. They open the link, attach the documents and press send.
